Privacy policy

Privacy policy and information on the processing of personal data and the use of cookies on the jugoma.pl website.

1. Data controller

2. Purposes and legal bases of processing

We process personal data on the basis of Article 6(1) of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 (hereinafter: the “GDPR”) for the following purposes:

  • performance of a contract for the provision of accounting, tax, payroll and HR services and related support services — Article 6(1)(b) GDPR;
  • compliance with legal obligations to which the Controller is subject, in particular those arising from the Accounting Act of 29 September 1994, the Act of 11 March 2004 on Goods and Services Tax (VAT), the Personal Income Tax and Corporate Income Tax Acts, the Act of 13 October 1998 on the Social Insurance System and other regulations governing obligations towards public administration authorities (ZUS, the tax office, PFRON, GUS) — Article 6(1)(c) GDPR;
  • responding to enquiries sent via the contact form or by e-mail, ensuring the security of the website, establishing, pursuing or defending legal claims and compiling statistics on the use of the website — as the Controller's legitimate interest, Article 6(1)(f) GDPR;
  • direct marketing of our own services — only on the basis of voluntary consent, Article 6(1)(a) GDPR.

3. Contact form

When you submit the form, you provide your first name and surname or company name, e-mail address, telephone number, type of business, number of employees and the content of your message. We use this data solely to respond to your enquiry and prepare an offer. Marketing consent in the form is voluntary — you can send your enquiry just the same without it. You may withdraw your consent at any time by writing to [email protected].

4. Categories of data processed

Depending on the purpose of processing, the Controller may process in particular:

  • identification data (first name and surname, company name, NIP tax identification number, REGON statistical number, PESEL national identification number);
  • address data (registered office, residential or correspondence address);
  • contact data (telephone number, e-mail address);
  • financial and accounting data (bank account numbers, source documents, bank statements, tax returns);
  • payroll and HR data (salaries, contributions, ZUS data, holidays, family members' data — to the extent entrusted by the client);
  • technical data (IP address, information from cookies, system logs).

5. Recipients of data

Recipients of the data may include:

  • public administration and judicial authorities (in particular the tax office, the Social Insurance Institution (ZUS), PFRON, Statistics Poland (GUS), the National Revenue Administration, courts and bailiffs);
  • entities processing data on behalf of the Controller under data processing agreements — in particular providers of accounting software, IT services, hosting and cloud services, and postal and courier operators;
  • other entities authorised under the law.

6. Transfer of data outside the European Economic Area

If you consent to analytics or marketing cookies, data on your use of the website may be transferred to Google LLC and its affiliates in the United States. Such transfers take place on the basis of a European Commission adequacy decision (the EU-US Data Privacy Framework) or standard contractual clauses. Without your consent, the website does not send any data to Google.

Exception: the Contact page displays a Google Maps map (Google Ireland Ltd.). Displaying the map sends Google your IP address and browser information; Google may also set its own cookies. The legal basis is our legitimate interest in showing how to reach us (Article 6(1)(f) GDPR). Google's policy: https://policies.google.com/privacy

7. Cookies

The website uses cookies necessary for its operation (remembering your choice in the consent window and the admin panel session). Analytics and marketing cookies are stored only after you give consent in the consent window, which you can reopen at any time using the button in the corner of the screen. The built-in visit counter does not use cookies and does not store IP addresses.

8. Data retention period

We store data:

  • for the duration of the contract and until the limitation period for any claims arising from it expires;
  • for the period required by accounting and tax law (as a rule, 5 years from the end of the year in which the tax payment deadline fell);
  • data from the contact form that did not lead to a contract — for up to 12 months from the last contact;
  • data processed on the basis of consent — until consent is withdrawn.

9. Your rights

You have the right to:

  • access your data and obtain a copy of it;
  • rectification of your data;
  • erasure of your data (the “right to be forgotten”);
  • restriction of processing;
  • data portability;
  • object to processing;
  • withdraw your consent at any time, without affecting the lawfulness of processing carried out before its withdrawal;
  • lodge a complaint with the President of the Personal Data Protection Office (ul. Stawki 2, 00-193 Warszawa).

The app and push notifications

If you turn on notifications in the app or on the website, we store the subscription address assigned by your browser (the push service of Google, Apple, Mozilla or Microsoft) and the website language — no name, e-mail or phone number. It is used only to send information about changes in the law and deadlines (Article 6(1)(a) GDPR). You can turn notifications off at any time with the “Turn off notifications” button or in your browser settings — the subscription is then deleted.
